Banff Men's Conference Society
News and Information

At the meeting of the Board of Directors Conference call, April 22,
2007, the following positions were recognized to be vacant as of the
Annual General Meeting of the Banff Men's Society, October 17-19, 2007:
Executive Secretary, Treasurer, Secretary, Archivist and one new
Director for Alberta.

The descriptions of these positions except for the last  two) are found
in the By-Laws of the Society and are set out below. The by-laws can be
found on the web-site of the Society after June 30, 2007.

EXECUTIVE - SECRETARY

"The Board of Directors may appoint an Executive Secretary who shall
have the following responsibilities:

bullet

represent the Society Executive on the current Conference Planning
Committees

bullet

provide advice and direction in the development of plans for each
conference.

bullet

provide official linkage with the Conference site authorities
(be that Banff centre or other)

bullet

be the sole signatory of all agreements of amendments with the
conference site authorities

bullet

provide continuity from one planning committee to another

bullet

keep the procedures manual updated and available to the planning
committee at least two years in advance

bullet

at each Annual Meeting report on the work done by the current
committee as well as by future planning committees

bullet

such other duties as are mutually agreed upon by the Board of
Directors as the Executive Secretary.

TREASURER

The Treasurer, who shall be elected at the Annual Meeting shall receive
all monies paid to the society and shall be responsible for the deposit
of the same in whatever Bank the Board may order. He shall properly
account for the funds of the Society and keep such books as may be
directed. He shall present a full detailed account of receipts and
disbursements to the Board whenever requested, and shall prepare and
submit to the annual Meeting a financial statement duly audited as
hereinafter set forth of the Society account, and submit a copy of the
same to the Secretary for the records of the Society. The office of the
Secretary and Treasurer may be filled by one person.

SECRETARY

It shall be the duty of the Secretary to attend all meetings of the
Society and the Board, and keep accurate minutes of the same. He shall
have charge of the Seal of the Society which seal, wherever used, shall
be authenticated by the signature of the Secretary and the President, or
in the case of inability of either to act, by a Vice President. In case
of the absence of the secretary his duties shall be discharged by such
officer as may be appointed by the President. The Secretary shall have
charge of all correspondence of the Society and be under the direction
of the President and the Board. The secretary shall keep a record of all
the members of the Society and their addresses, and shall send all
notices of meetings as required. The Secretary shall submit annually a
report, an audited statement, and a list of Directors to each of the
conferences of Alberta, British Columbia and Saskatchewan, and to the
General Council of the United Church of Canada.

ARCHIVIST

1. At least once a year, send any material of archival interest relating
to the Banff Men's Conference to: Jane Bowe McCarthy, Provincial
Archivist, A and N W Conference, 8555 Roper Road NW, Edmonton, AB T6E
5W1. Suggested items are: Minutes of the Banff Conference Society
Executive, Minutes of the Annual meeting, Financial Reports, brochures
and promotional literature, list of current year's officers and directors.

2. At the annual Banff Men's Conference, prepare and man display table
of the publications on the history of the Banff Men's Conference. There
is a poster display on file folders that tell a bit of information about
each conference. This could be continued and kept up to date or
organized in some other form.

3. The archivist is a non-voting members of the Executive.

A DIRECTOR FROM ALBERTA

Responsibilities are to attend the Annual Meeting of the Conference ,to
attend annual meetings of the Banff Men's society, and such others
meetings as may be called, e.g. a Conference call, with power to cast a
ballot. There is no limit to the length of time a Director may serve. It
is from the membership of the Board of Directors that the Society's
officers are chosen . Those elected to the Board will have their name
submitted to their home Conferences for approval as Board members.
